  1. Open your mailbox by going to https://outlook.live.com/owa.

Outlook Sign Up

Outlook.com is a webmail service developed by Microsoft, considered as a replacement for Hotmail – one of the world’s first webmail services. Outlook.com account is also a Microsoft account that give you permission to access other Microsoft’s products and services including: Windows App Store, OneDrive, Skype, Office Online, etc…

Sign up a new Outlook.com account with a few easy steps.

  1. Go to https://outlook.live.com/owa. You will be redirected to Microsoft account login page. Click Create one! to sign up or follow our direct link to Outlook.com sign up page.

  2. Enter some of your personal information in the blank including your full name, birthdate. You can use email addresses from other email services for your user name, or create a new one by clicking Get a new email address.

  3. Select your Gender. Enter your phone number (Phone number can also be used to sign in). Enter the characters you see in the picture to verify that you are not a robot. You can choose New for another string or Audio for audible aid.

  4. Click “Create Account”. If you fill any field incorrectly, Outlook will show you an error message to help you complete the registration. Wait a few seconds to get your Inbox ready.

Congratulations, your new Outlook.com account has been created and now you can also access other Microsoft services, such as: sending your friend an email, signing in Windows App Store and downloading apps for your computer, or using Skype to chat with your partners. Outlook is a personal information manager from Microsoft, available as part of the Office suite. Although Outlook is mainly used as an email application, it also includes a calendar, task manager, and contact manager. Outlook has a web version at: https://outlook.live.com, a stand-alone application for PC and also a mobile app for iOS and Android devices.

The current Outlook version 16 is bundled with Microsoft Office 2016, which was released in September, 2015.

1. Create a Microsoft account

  1. Go to Outlook on web. You will be asked to sign in.
  2. Click on Create one.
  3. Provide your information as required including your full name, birthday, gender, phone number, email address (this will be used as your username to log in to Microsoft services, you can create a new one as an Outlook email by choosing Get a new email address).
  4. Click Create account when done.

2. Sign in Outlook

  1. Go to Outlook on web. You will be asked to sign in.
  2. Enter your email address or phone number.
  3. Type in your password.
  4. Click Sign in.

3. Feature

What makes Outlook such a great tool for enterprise-level collaboration is that it has all the productivity features packed into one unified application and everything can be shared, with settings for levels of permissions for each user.

A. Email

Outlook is mostly used as an email application and it is similar to all other email services. Users can use Outlook as their main email account or use it as a third-party app to manage their emails from all other services such as Gmail, Yahoo Mail…, all in one place, eliminating the needs to switch between multiple accounts. Other features can be accessed by clicking the menu button on the top left.

B. Calendar

Outlook Calendar has a similar interface to Windows 10’s Calendar app and it supports files from other calendaring services for users to import their calendar entries into Outlook. It features daily, weekly, monthly and agenda view modes. It also features a to-do list function for users to keep track of their tasks. Multiple calendars can be created and shared, allowing different levels of permissions for each user. Microsoft also add a weather forecast directly in the Calendar.

C. People

Outlook People is the contact manager component of Outlook. Contacts can be added, as well as imported from many other social media such as Facebook, Twitter, LinkedIn… Users can also sort and put contacts into folders for easier management. For example, a folder for people from work, a folder for family, and so on. Outlook People allows users to link one person’s accounts from multiple sources (Facebook, Twitter, LinkedIn, Gmail, Yahoo…) to one unified profile containing all the contact information of that person.

D. Tasks

Outlook also provides a built-in to-do list. Users can create tasks, categorizing them into folders. Outlook Tasks provides the user with fields such as subject, start and end dates, percent complete, priority, and how much work was put into each task. Rich editing features like bold, italic, underline, numbering, and bullet points were also introduced. Tasks can also be assigned to others by sending them as emails, all done within Outlook.

E. Skype integration

Skype is integrated into Outlook, users are able to access their Skype’s contacts, conversations, and make calls from within Outlook without Skype’s desktop client. To access, simply click on the Skype icon on the top right.

Reply, reply all or forward an email with Outlook

When you receive an email message, you can respond to it by choosing one of these actions: Reply or Reply All, or Forward it to others.

  1. With the email open in the reading pane, choose the down arrow next to Reply all, and then choose Reply, Reply all, or Forward.

Notes: If you’re forwarding an email, enter names in the To and Cc boxes, as applicable.

  1. If the original email contains an attachment, Reply and Reply all won’t include the attachment. If you choose Forward, the original message and any attachments will be included.
  2. Type your response, and then choose Send.

Tips about using reply, reply all, and forward

    When you reply to a message, the title will be changed to RE: added to the subject line. The original message is added below the new message.

    Attachments to the original message aren’t included when replying.

    • Forward
      When you forward a message, the prefix FW: is added to the subject line to alert the recipient they’re receiving a forwarded message. The original message is included in the forwarded message, along with any attachments to the original message. You can edit the text of a forwarded message or add and remove any attachments before you send.
    • When replying to or forwarding an email message, you can change the subject line of the message. Simply delete the existing subject line, and type the new one.

What do people often do the most with OneDrive?

OneDrive is one private virtual place to save your documents and pictures. You will be given 5 GB free storage for each Outlook account. Thus, regardless what device you are using, you could find it convenient to find your data in either your computer or a mobile device.

Connect storage accounts to Outlook

If you use emails regularly, you probably have added attachments, such as photos or documents to your emails. And most likely those are files you stored on your computer or you flash drive. With Outlook, you have another option. If you store files on an online storage service such as Dropbox, Box, Google Drive or even Facebook, you can attach those files to your email messages on Outlook. We will take you through a few steps to do so.

  1. Go to your Inbox on https://outlook.live.com/owa.
  2. Click on the gear icon in the top right, choose Options.

  3. On the left pane, click Mail > Attachment options > Storage accounts.

  4. Choose the storage service you’re using to store your files.

  5. A window will pop up, asking you to log in to that site. Please log in. If you’ve already logged in, Outlook will ask for permission to access your files.

  6. Click Allow when asked for permission to access the files.

Your storage account is now connected to Outlook; you can attach files from there to your email messages or calendar events.

What are POP3 ,IMAP and SMTP?

SMTP, POP3 and IMAP are TCP/IP protocols used for mail delivery if you have some sparetime, it is a good chance to learn more about what  they are and how they differ from one another.


SMTP stands for Simple Mail Transfer Protocol, which is the protocol used to transport email messages from computer to another until they reach their destination.

SMTP is used between SMTP clients and SMTP mail servers, delivering an email to its destination.

SMTP still operates when SMTP mail servers forward the message to the next server, until it has been notified to the mail server for its final destination.


POP3 stands for Post Office Protocol version 3.

POP3 works as the main communication protocol or language, receiving emails from an email server or service provider. POP3 is used with some programs, for instance Thunderbird email, Microsoft Office Outlook, and other programs that use to communicate with other email servers. It can also be supported by an independent email program on other devices.

When POP3 is used, the email messages are moved to the computer where they are downloaded – . After the download is completed these emails will be deleted from the mail server on where they were stored.

Sometimes, POP3 is used to transfer emails from a different email provider. For example, your Outlook.com email access to Gmail can be implemented by configuring Gmail to use POP3 to retrieve and transfer (fetch and transfer) Outlook.com email into your Gmail account.


IMAP stands for Internet Message Access Protocol.

The name implies that IMAP is a protocol to access e-mails. It is different from POP3, a protocol to transfer (or move) message.

When IMAP is used by email programs to access email messages stored on a server, the messages are retained on the server unless they are moved or totally deleted. The copies of email messages can be downloaded, but basically, IMAP delivers the best which can be called a window or an overview for emails stored on the server.

While the copy of an email can be downloaded and enables offline access, the IMAP protocol works best when continuously connecting to the email server. Any changes on that server – for example, a new message arrives, an email is deleted or changed by a web interface or email program – will be notified via IMAP.

One of the IMAP’s strengths is multiple-simultaneous access. There are more than one computer or device can access the same collection of emails simultaneously. This technology is usually used by mobile devices, and even the web interface, e-mail management that can be accessed from multiple locations. It’s drawback is that it requires constant connection and that emails on the server will accumulates unless they are removed. This may lead to an excessive amount of data that is over the storage limit.
